The type of personal information we collect

We currently collect and process the following information:

  • Names and contact details (email address, living address, phone numbers, age if under 18).

  • Booking request details (proposed/actual dates of stay, price paid).

  • Bank account details for return of good housekeeping deposit.

  • SquareSpace, the firm that hosts the website, provides analytics (location, IP address, web pages accessed, date/time of access).

  • Email and WhatsApp exchanges with potential/confirmed guests.

How we get the personal information and why we have it

The personal information we process is provided to us directly by you for one of the following reasons:

  • When enquiring about making a booking to stay at Leac a Ghradain, when making a booking, and during discussions relating to a booking before, during or after a visit, including the return of the good housekeeping deposit.  

We use the information that you have given us in order to:

  • Facilitate and implement a booking of Leac a Ghradain.

  • Maintain records of past, current, and future bookings.

We may share this information with:

  • Names of guests and dates of their bookings are provided to the Leac a Ghradain’s changeover team.

  • A record of bookings (without contact information) is provided to the Highland Council in order to meet the Council’s requirements for information relating to Business Rates and the Short Term Let licence.

  • A record of bookings (without contact information) is provided to professional accountants in the course of submitting tax returns to HMRC.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting torridonviews@gmail.com

  • We have a contractual obligation when a booking is confirmed.

  • We have a legal obligation in certain circumstances (e.g. during the Covid pandemic) to maintain records of who is staying at the property.

  • We have a legitimate interest because the information you provided is necessary for carrying out the business of a holiday rental business.

How we store your personal information

  • Your information is securely stored.

  • We keep printed copies of booking sheets at a secure private address. These can be destroyed (shredded) at your request but will otherwise be kept on file for 10 years and then destroyed (shredded).

  • We keep electronic copies of booking sheets on secure password-protected private desktop and laptop computers, backed up to Norton Security and Microsoft OneDrive. These files can be deleted (and removed from any Recycle Bin) at your request but will otherwise be kept on file for 10 years and then deleted (and removed from any Recycle Bin).

  • Bank details are briefly entered into my Santander online banking list of Payees in order to refund the Good Housekeeping deposit and then deleted within 24 hours.  

  • Emails and WhatsApp exchanges with potential/actual guests are stored on the password-protected Gmail email account: torridonviews@gmail.com. Emails and WhatsApp messages can be deleted on request but will otherwise be retained for 10 years.

 Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at torridonviews@gmail.com if you wish to make a request.
